What happens to uploaded files

This page covers what the recipient of a Share Link sees, and where their files end up once they've uploaded.

What the recipient sees

When someone opens your link, they don't need a Veridox account. They see:

1. A short notice — confirming which policy or claim the request relates to and the deadline to upload by. It makes clear that the documents are needed for a review.
2. An upload step — they drag in their files or browse for them, then select Submit.

The same file rules apply as elsewhere in Veridox: JPG, JPEG, PNG, PDF, DOCX, HEIC, HEIF, and ZIP, up to 50 MB each, and up to the number of files you allowed. When they're done, they see a confirmation: "Your files have been successfully uploaded. Thank you!"

Where the files go

Uploaded files come straight into your Veridox account, and only your organisation can see them — the recipient can't view anyone else's documents, and no one outside your organisation can view theirs.

From there they're handled like any other upload: Veridox analyses them, and they appear on your dashboard under the policy or claim reference you used for the request, so you can find them by searching that reference. The request itself moves to the Completed links tab, with the time it was completed.

After a request is done

• The link is single-purpose — once used, or once its 7 days are up, it can't be used again.
• If someone needs to send more documents after that, create a fresh request.

ℹ️ If a link expires before the recipient uploads, it moves to Expired links. Send a new request rather than trying to reuse the old one.
