Step 5: Link Sharing

Sometimes the documents you need to review come from people outside your organisation - customers, claimants, or third parties who don't have a Veridox account. The document request feature lets you collect those files securely, without asking anyone to sign up.

ℹ️ This feature may not be enabled for all organisations. If you don't see it, speak to your administrator.


How it works

You send a secure, one-time upload link to the person you need documents from. They click the link, upload their files, and those files are automatically processed and attached to your case - no account needed on their end.


Sending a document request

  1. Navigate to the Link Sharing section
  2. Enter the recipient's name and email address
  3. Enter the case, policy, or reference number you want the files attached to
  4. Optionally, tick the box to send yourself a copy of the link
  5. Click Send - the recipient will receive an email with their upload link

🔒 Each link works only once. Once the recipient has submitted their files, the link closes automatically. This is a deliberate security measure - it prevents the same link from being reused or shared further.


Managing your requests

The Link Sharing section shows all your previous requests, organised by status:

Status     What it means
Completed The recipient has uploaded their files successfully
Pending The link has been sent but files haven't been uploaded yet
Expired The link has passed its expiry date, or was manually revoked

Available actions

Resend - If the recipient hasn't received the email or needs a reminder, use Resend to send them the link again.

Revoke - If a pending request is no longer needed, revoke the link to cancel it immediately. It's good practice to revoke unused links promptly.


What happens to the uploaded files?

Once the recipient submits their documents, Veridox automatically begins analysing them. The results will appear in your dashboard under the reference number you specified when creating the request - no manual steps needed.
