By default, everyone in your organisation sees only the cases they own. To let people see every case, what used to be called shared cases, you grant two permissions to a role on the Roles & permissions page in Settings. You'll see that page if your role can view organisation settings; by default that's Organisation Owners and Organisation Admins.
You no longer need to ask Veridox to turn shared cases on for you.
ℹ️ If your organisation already has shared cases on, you need do nothing. Your roles have been given these permissions already, so nothing changes for the people in them.
Let everyone see every case
- Go to Settings → Roles & permissions.
- Select the role you want to change: Organisation Admin, Analyst, or Member.
- Under Cases, turn on View all organisation cases.
- Under Files, turn on View all organisation files.
- Select Save.
Repeat for each role that should see everything. Changes reach each person within a few minutes, and they don't need to sign out. Organisation Owners always have full access, so there's nothing to change for them.
Why both permissions
Org-wide access needs the two together:
- View all organisation cases: every case in the organisation, not just the person's own.
- View all organisation files: the files inside those cases.
Grant cases without files and someone opens a colleague's case to find it empty. Both permissions also cover search, document requests, and chat.
Take the access away
Turn the same two permissions off for the role and select Save. People in that role go back to seeing only their own cases.
Changing a role affects everyone in it. To change things for one person, move them to a different role instead. See Teams & members.
API keys
A key's access comes from the permissions set on the key itself, not from the roles on this page. Granting a role View all organisation cases doesn't widen what your keys can reach. Set that on the key, as described in API keys.
